Supporting organisation-wide communication and collaboration through the implementation of SharePoint

Challenge

  • Vision Eye Institute (VEI), Australia’s leading provider of ophthalmology (surgery regarding the eye), wanted to upgrade their existing intranet “InVision”, as 80% of their users were not engaging with their existing platform

  • They wanted to increase staff engagement and communication, and allow for ease-of-access to valuable content across their national offices

  • They sought to make 6 key improvements: consistency & standardisation, efficiency, communication & unity, security, quality of service and staff engagement & empowerment

Approach

  • Through collaborative workshops, Solentive created an initial site design and information architecture, that would support VEI’s objectives

  • A clearly defined data migration approach removed the risk of lost data, and allowed the Vision Eye Institute to refine their existing sites and web parts

  • An iterative process kept VEI informed throughout regular progress previews and training sessions, to enable VEI to own the content creation and management process

  • Solentive provides ongoing periodic support to empower VEI to take ownership of the intranet, whilst still obtaining support on-demand and as needed

Outcomes

  • The implementation of a new version of SharePoint has enabled VEI to easily keep content up-to-date, a key factor in the effectiveness of an engaging intranet

  • A centralised portal allows for consistency and standardisation across the business

  • Staff across the business have access to consistent information, brand awareness has increased, and staff are using the intranet as their first point of call for important information

  • Cross national project collaboration has improved staff engagement, and feedback on the overall user experience is positive
